Operating nationally, the business partners with commercial and industrial clients to help reduce energy costs, improve sustainability outcomes, and manage long-term clean energy assets through innovative renewable energy projects and ongoing support services.

About the Role

The Operations Assistant provides executive and operational support to senior leadership and the broader engineering, sales, and project delivery teams. This is an offshore role based in the Philippines, working remotely with the Australian team across overlapping business hours.The role is designed to reduce the administrative burden on senior leadership, increase capacity across the wider business, and support coordination between interdependent functions, including pre-sales engineering, project engineering, sales, and operations.

Key Responsibilities

  • Providing direct support to senior leadership, including:
    • Overseeing team-wide time tracking compliance.
    • Attending 1:1s between team members and their managers to capture notes, maintain accurate team data and dashboards, and communicate relevant information back to senior leadership (or, where preferred, conducting short individual check-ins to achieve the same outcome).
    • Triaging and delegating inbound requests, including enquiries from historical sales and service contacts, and general queries that can be resolved at the operational level.
    • Coordinating tasks assigned to the engineering team, including overflow support at the interface between pre-sales and project engineering.
    • Tracking pre-sales engineering profit and loss.
  • Supporting the broader team across systems and compliance, including:
    • Procore project setup and ongoing administration.
    • Procore variation compliance – confirming alignment between sales, project delivery, and other stakeholders prior to the issue of variations or budget amendments.
    • Procore insurance management and follow-up, with opportunities to automate routine elements where appropriate.
    • Sales handover compliance.
    • HubSpot administration, including the development and maintenance of forms, workflows, and reports as directed (e.g. new pre-sales intake forms).
    • End-to-end project setup and follow-up of outstanding signatures.
    • STC management.
    • PPA HoldCo billing follow-up.
  • Supporting sales and tendering activity, including:
    • Tender response support – completing standardised submission requirements such as insurance certificates, company headcount, company history, and other recurring information requests.
    • Data categorisation and analysis tasks using approved AI tools, in accordance with provided instructions (e.g. categorising historical sales by industry).
  • Supporting general business operations, including:
    • Travel scheduling and booking for the management team, engineering team, and broader business
    • Lunch and learn coordination and logistics
    • Conducting customer phone surveys where additional capacity is required
    • Sourcing quotes for general business requirements (e.g. corporate event venues, software resellers, laptops and other hardware)
    • Other ad hoc administrative tasks as required

Qualifications and Skills

  • Basic understanding of or interest in the electricity industry and photovoltaic systems
  • Exposure to or interest in rooftop solar design (prior experience advantageous but not required)
  • Willingness to learn and ask the right questions to help identify and resolve procedural and technical challenges
  • Organised with strong attention to detail and the ability to manage competing tasks with guidance
  • Ability to build positive working relationships with colleagues, contractors, and suppliers
  • Excellent written and verbal communication skills over both email and phone
  • Strong skills in Microsoft Office suite
